Client Background
Founded in 1925, the client firstly leads the Japanese securities market and now has established as a truly international global finance house. Today, the client’s services are orchestrated from four main centers of the world: Japan, Hong Kong, London and New York with a web of offices in over 30 countries.

The Client’s major business activities include securities brokerage services, underwriting, advisory services for mergers and acquisitions, asset management and wealth management.
Business Challenge
In the existing environment, there are larger amount of information including news, reviews and reports, both related to company internal and market situation, need to be effectively communicate up and down and across the countries. However, this is done in primitive email system and content management applications based on old technology. Firstly, there has no formal and customizable approval procedure in the news publishing process. Hence the process and security control is very weak. Secondly, news content and user access control can only be managed by a centralized group, therefore the whole workload will be put to Information Technology (IT) Department. Also there is only limited revision history as per news content could be recorded and retrieved, this rendered very limited traceability of the content version. Finally and also the most important point is currently all data including news content and index information are stored in a proprietary system, user or IT staff could not easily export or analyze the published data or build and customize application on top of the current system.

The system shall be of high availability so that it can serves across different time zones of where the offices located. And the system reliability and efficiency shall be critical as it will serve thousands of employees from all over Asia offices.
Solutions
The major objectives of this deployment is to provide a highly reliable and effective system to enhance the internal information sharing, to streamline the day-to-day process through e-form submission and to establish a centralized workflow platform for office process automation in various departments and in different locations.

In order to adapt and response to the fast changing business, the workflow system adopted was flexible and easy to maintain which built on an open platform and with capability to extend for additional applications.

In order to formalize the new publishing process, a formal and e-form approval procedure had been implemented with proper access control and traceability on all news/data changes. The correctness of news information posted out could be highly guaranteed and the processing time for the news approval had also been greatly reduced as all procedure will be processed electronically through common web browser. Moreover, the revision history as per documents or news will also be recorded systematically; related stakeholders can easily trace the document changes in the system.
